Panel & Event Submission Form

To answer a frequent question that we receive, we do not charge anyone to run a panel. It is completely free to run a panel.

Note: Only use this form if you, or the group you represent, are personally running the panel. This form is not intended as a suggestion form for our events staff. If you have an idea for a panel then please post them on our forums.

Event Submission

This is the form that you will need to fill out to submit your panel/event to San Japan: Mach 5. All of the information submitted is necessary for our Event Staff. This information will not be shared by anyone else.

It would be greatly appreciated if every field is filled out as the more information provided in the form greatly helps out the San Japan Events Staff in being prepared for your event.

All fields with a * are required.

We will be taking Event Submissions up until June 15th, 2012 @ 11:00pm. All event/panel confirmations will be sent 5-10 days after submissions have closed if it has been approved.

To answer a frequent question that we receive, we do not charge anyone to run a panel. It is completely free to run a panel.

1) To receive a complimentary panelist badge, you need to be approved for 3.5 hours of panels/events. Submitting multiple panels does not guarantee that all of them will be approved.

2) A group will only receive a maximum of 3 comp. badges.

3) San Japan may change the length of the panel that you request. Please ensure that you check the schedule prior to the event.

4) Please take into consideration when you are planning for your panel at least 5 minutes for set up and 5 minutes to tear down. If you are given a hour panel, please plan for 50 minutes, etc.

Panel Rooms will include:
- Projectors & Screens (can be hooked up to computers via VGA. Make sure you specify desired connections on your panel request form.)
- Microphones (Usually 2 to 4, depending upon the size of the room.)
- A table at the front of the room for the panelists, as well as chairs.
- Chairs for the attendees. (if necessary)
- Panel rooms are NOT equipped with internet access. There is a charge to access the internet at the hotel and there no guarantee to access the internet at the Convention Center.
- Panelists are advised to have prepared presentations and screenshots or have access to internet via tethering because an internet connection will most likely not be available.
