San Japan continues to monitor official Centers for Disease Control and World Health Organization COVID-19 safety protocols. We are working closely with our partners at the Henry B. Gonzalez Convention Center, Grand Hyatt Hotel, Marriott Riverwalk Hotel, and the City of San Antonio to create and implement our COVID policy. Health protocols are changing constantly across the globe, and we are working to create the safest environment possible for our event. Updates to our COVID Policy will be found (here). Every attendee, guest, staffer, artist, vendor, and exhibitor’s well-being and health are our first priority. Here is what we are doing to protect your health and peace of mind so you can focus on having fun with us in 2022.
Vaccination and Mask Requirements
San Japan 13 will require masks for all in attendance in San Japan contracted spaces (e.g. event halls, panels rooms, main stage, etc.), including but not limited to artists, exhibitors, staff, and attendees. Masks are to be worn over the nose and mouth while indoors.
San Japan is further requiring proof of COVID-19 vaccination to be completed at least two weeks prior to the event, or proof of a negative Covid-19 test within two calendar days prior to picking up your badge to attend the convention. All unvaccinated guests, staff, and attendees will be required to provide proof of a negative COVID-19 antigen or PCR lab test result administered or supervised by a verified third-party (including, but not limited to, pharmacies, mobile test sites, etc.) or via a medically-supervised home test taken within two calendar days prior to the convention. A third-party negative test report is required. Under no circumstances will an over-the-counter home test kit be acceptable as proof of a negative Covid-19 test.
Unvaccinated guests must be aware of the turnaround times involved in the testing. It is your responsibility to ensure the test results will be provided in a timely manner.
San Japan is continuing to work closely with the Henry B. Gonzalez Convention Center, the Grand Hyatt, the Marriott Riverwalk, and the City of San Antonio to create the safest experience possible for all of our attendees and staff. The following policies are as of July 2022 and will be updated as situations dictate:
WILL BE REQUIRED FOR ENTRY INTO SAN JAPAN 2022
All persons, including but not limited to attendees, exhibitors, guests, and staff, that are 5 years old or older, entering San Japan must show proof of vaccination.
Your proof of vaccination must show that you have received and met the criteria of a fully vaccinated individual at least two weeks before the convention dates. The definition of a fully vaccinated individual is someone who has had the primary series of a CDC-approved COVID vaccine. Specific information regarding approved vaccines and necessary doses can be found on the CDC website.
A valid CDC-issued card must be shown to receive your badge that allows entrance to all convention spaces.
ATTENDEES UNDER 5 YEARS OLD
All Attendees between 2 and 4 years of age who are currently unable to be vaccinated will need to wear a mask at the convention. If a child is under 2 years of age, no mask or vaccine is required.
All persons, including but not limited to attendees, exhibitors, guests, and staff, that are 2 years old attending the convention, must wear masks while in San Japan contracted spaces (e.g. event halls, panels rooms, main stage, etc.) at all times – including when taking part in any cosplay. Face coverings in these spaces can only be removed while eating or drinking or for a very brief time while actively having a photo taken.
All face coverings must properly cover your nose and mouth. A mesh mask is not considered an acceptable face covering. A face shield is not considered a substitute for a mask.
Cosplay masks and helmets are allowed, however CDC approved face coverings MUST be worn under the cosplay. Upon entry to the building, you will be required to remove your cosplay mask for security / Prop Check and show your approved face covering.
If it is observed that you are not wearing a face mask for extended periods during photoshoots inside the buildings, a staff member may ask you to put one on. Non-compliance will result in being removed from the premises and your convention badge being revoked.
ADDITIONAL HEALTH AND SAFETY MEASURES
Additional safety measures will be in place in the HBG Convention Center during the duration of the convention. Hand Sanitizer stations have been added throughout the building and staff will be working throughout the day to wipe down handrails, doorknobs, escalator railings, and elevator buttons. Full cleaning and sanitizing will take place each day as well.
Unfortunately, for San Japan 2022, anyone that is 5 years of age or older and unvaccinated will not be allowed to attend our convention without a third party administered CDC-approved negative test dated within two calendar days prior to badge pickup. As a large convention, we care about the health and safety of all our attendees. If you find that this policy causes a conflict with your beliefs, we look forward to you joining us in future years. For 2022 this is our policy.
We ask that all attendees self-evaluate prior to coming to San Japan to protect others at the event. If you are experiencing COVID-19 symptoms or have been in close contact with someone who has had COVID-19 in the 14 days prior to the event, please do not enter the HBG Convention Center or the Hotel meeting spaces.
Suggestions from San Japan
Proof of Vaccination: CDC vaccination card, or unaltered digital photo of the card.
Fully Vaccinated: A person is considered fully vaccinated 14-days after their final dose of a two-dose vaccine series, such as the Pfizer and Moderna vaccines or any World Health Organization approved vaccine.
As has been the case this past 2 years, the situation is changing constantly, and guidelines are fluid. San Japan reserves the right to change these guidelines at any time and to deny entry to this event to any participant not in compliance with these guidelines. Please be patient with event organizers, facility partners, and your fellow attendees, and please operate with kindness and understanding.
The San Japan Board of Directors continues to evaluate what is best for all attendees to ensure we meet safely and that everybody is as safe and comfortable as possible.
